PROOF OF OWNERSHIP & YOUR IDENTITY

HMO Management Agency are proud
to uphold the strictest regulations for your peace of mind. One such regulation
that we must comply with is the Money Laundering Regulations 2017. For this we
require our clients to provide up to date ID (identification) and proof of
residential address. The beneficial owners should also be disclosed prior to us
undertaking any work. Finally the source and destination of funds may be
required.

For your convenience we have
prepared a list of identification documents that we can accept. To comply with
the rules and regulations we require that you provide original documents.

N.B Dependant on your current
individual circumstances we may require additional documentation. We will
inform you if/when these are required.

ACCEPTABLE ID DOCUMENTATION

We have compiled 2 lists from
which you must provide one document from List 1 and one document from List 2

All documentation must be
original and as stated below. No general correspondence  will be accepted
as ID.

LIST 1 – IDENTITY DOCUMENTATION

Please provide one document from
the following:

Up to date signed passport

UK driving licence

EEA member state identity card

LIST 2 – PROOF OF ADDRESS
DOCUMENTATION

Bank, Building Society or Credit
Union Statement
 dated
within the last 3 months. Document must display account number and recent
transactions on your account.

Benefits Entitlement Letter – must be dated within the
last 12 months and be issued by Job Centre Plus or DWP. The letter should
clearly state your benefit entitlement when issued. This can include Single
parent Benefit, Pension, disability, housing etc.

Council Tax Bill must be dated within the
last 12 months. Your full address and account number must be written on the
bill provided.

Credit Card Statement dated within the last 3
months. Document must display account number and recent transactions on your
account.

HMRC Tax Notification – must be dated within the
past 6 months and document your national insurance number tax calculation.

Home or Motor Insurance
Certificate
 –
Dated within 12 months – must be dated within the past 12 months and document
the address at which your car is insured or registered address for car as well
as your policy number.

Mortgage Statement (UK, EU, EEA) dated within
the last 3 months. Document must display account number and recent transactions
on your account.

NHS Medical Card or Letter from a
UK GP that details registration
 – must be dated within the past 3 month and
clearly state NHS number and date of birth.

Official Poll Card or Official
confirmation of Electoral Register entry
 –  must be dated within the past 12
months and state your full name and full address.

Photo Drivers Licence – Full or Provisional
valid, UK/EU/EEA is acceptable (provided Drivers Licence has not been used as
ID in list 1)

Police Registration Certificate – Must be dated within the
past 12 months and provide your full residential address.

Telephone Bill must be dated within the last 6
months. For example: Mobile or landline bills are acceptable (pay as you go is
not suitable). Your full address and account number must be written on the bill
provided.

Tenancy Agreement – must be dated within the
last 12 months. Your full address  must be on the agreement and it should
be issued by reputable letting agent, solicitor, council or housing
association.

UK Solicitors letter detailing
land registration/ house purchase
 – must be dated within the past 3 months. The
letter must document the full name of new owner and property address.

Utility Bill – must be dated within the last 6
months. For example: Electricity, gas or water bills are acceptable. Your full
address and account number must be written on the bill provided.

PROBATE / REPRESENTATIVE OF AN
ESTATE

We require the following
documentation for those acting as a Representative of an Estate:

  1. Individual proof of Identity
    from List 1 & 2 for either administrator or executor.
  2. Grant of Probate (if a will
    was left)
  3. Letter of administration (if
    no will left)

FOR UK LIMITED COMPANIES

We require the following
documentation for those acting as a Representative of a UK Limited Company:

  1. Individual proof of Identity
    from List 1 & 2 for all individuals or entities who have 25% of the
    voting rights or shares of the registered company.
  2. Certificate of Incorporation
  3. Articles of Association
  4. Memorandum of Association
  5. Latest Annual Return or
    Confirmation Statement, with details of current company officersIf
    offshore, nominee director declaration and a general power of attorney

REPRESENTATIVES OF AN OFFSHORE
COMPANY

We require the following
documentation for those acting as a Representative of an Offshore Company:

  1. Individual proof of Identity
    from List 1 & 2 for all individuals or entities that have 25% of the
    voting rights or shares of the registered company.
  1. Certificate of Incorporation

Articles of Association,
Memorandum of Association, Latest Annual Return with details of current company
officers, Share Certificate(s) showing the Ultimate Beneficial Owner

ALTERNATIVELY:-

2a).  Certificate of
Incumbency

If the shares are owned by
another company, repeat steps above for the holding company

  1. Nominee director declaration
    and/or general Power of Attorney (if applicable)

FOR TRUST REPRESENTATIVES

We require the following ID for
Trust Representatives:

  1. Individual proof of Identity
    from List 1 & 2 for all individuals who exercise control over the
    Trust or have 25% or more of the capital.
  2. Trust deed
  3. List of trustees
  4. List of beneficiaries
